Starting AI safely
By Dr. Vinay Joshi, AI Evangelist, Suvichar Technologies · October 27, 2026
AI is useful only if your customers and your staff trust how it handles data. For a small business, a few simple rules set early prevent most problems.
- Decide what data AI may see. List the data each tool will read. Keep sensitive personal data out of tools unless you have agreed how it is protected.
- Approve tools before use. Keep a short list of approved tools. Staff should not paste customer records into unapproved tools, however convenient they look.
- Name who signs off. For each AI use, name the person who approves it and the person who reviews its output.
- Keep a simple log. Write down where AI is used, what data it reads, and who owns it. A one-page list is enough for most small businesses.
- Review every month. Tools change, and so do your needs. A short monthly review catches new risks early.
Customers. Be clear with customers when they are dealing with an automated reply, and give them a route to a person.
Rules differ by country. Data protection laws, such as GDPR in Europe and local laws elsewhere, set specific duties. Check your obligations with a qualified adviser for your market. This post is general guidance, not legal advice.
These five rules take an afternoon to set. They make every later AI project faster, because the approvals are already agreed.
