Your AI is only as good as your data

Most AI projects don’t fail because the AI is weak. They fail because the data behind it is scattered, duplicated or out of date. An AI assistant that reads three versions of the same customer will give you three confident answers, and only one of them will be right.
Before you buy any tool, run this check. It takes about 30 minutes.
- Find the customer record. Can you name the single place where a customer’s details live? If three systems each hold a version, the AI will have to guess which one to trust.
- Count the duplicates. Search your CRM for one company under two spellings. If you find more than a handful, clean them before anything else.
- Ask a real question. Ask someone: “What did we last quote this customer, and was it paid?” If the answer takes more than a minute to find, the data is not ready.
- Name an owner for each list. For customers, products and prices, write down one person who keeps each list up to date.
- Write down the gaps. Note what is missing: phone numbers, job types, dates, product codes.
What to do with the results. Fix the top three gaps this week. Choose one process and make its data accurate. Only then choose an AI feature for that process.
Clean records give useful suggestions. Messy records give confident-sounding mistakes. That is true of every AI tool, including the AI features now built into Zoho.
We run this check first in every discovery call. It shows where AI is worth the investment, and where a data fix comes first.
